1. What CertExpiry does

CertExpiry is a Google Sheets™ Editor add-on that tracks the certificate-of-insurance (COI) expiry dates you enter or import into your own spreadsheet, colors rows by days remaining and lists due reminders in an Outbox tab. Tracking tool, not insurance advice. It does not review, verify or assess coverage. CertExpiry is free. There is no paid plan and we collect no payment or billing data.

2. Our role

The vendor and certificate details are your data, kept in your spreadsheet. For that data you (or your organisation) decide what is entered and why; to the extent we process it at all, we act only on your instructions as a processor / service provider. We run no server that receives it and we cannot see it. We are the controller only for data you send us directly (support emails).

3. Personal data that may be in your sheet

COIs often contain business personal data about third parties: names of vendors and sole traders, business addresses, policy and certificate numbers, insurer and agent/broker names, and contact names, emails and phone numbers. You choose what to enter. Enter only what you need to track expiry dates, and make sure you are entitled to use it (for example, under your contract with the vendor).

4. Google permissions (scopes)

We do not request access to your Gmail inbox, your Drive, or your other spreadsheets.

5. Where data is stored and for how long

6. Legal bases (EU/UK GDPR)

7. Service providers (sub-processors)

Google LLC (Sheets and Apps Script, running under your own Google account; and Gmail, for support emails you send us). No analytics, ads or trackers in the add-on.

8. No selling, no ads

We do not sell or share your data, use it for advertising, or use it to train AI models.

9. Google API Services User Data Policy: Limited Use

CertExpiry's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. No person at Nicholas Syrianoudis reads your spreadsheet data; if you share specific data with us for support, we view only what you share.

10. Your rights

Depending on where you live (including the EU/UK and California) you may ask to access, correct or delete personal data we hold (in practice, support emails) at support@plankfoundry.com. Requests about data in a customer's spreadsheet (for example from a vendor contact) should go to that customer; we will pass them on where we can.

11. Security, children, changes

Data is processed within Google services under your account; you control sharing of your spreadsheet. Not intended for anyone under 16. If we change how the add-on uses data or add scopes, we will update this policy and ask for consent in the add-on before the new use. If we ever add a paid plan, we will update this policy before collecting any billing data.
